Apr 23, 2020 I have had an email signature created as a html file but can't seem to get the code to render when requiring an email signature. I can easily create a signature using the in-built editor on Outlook, but that's not the desired affect I'm looking for. I'm running Microsoft 365, using Outlook with 3 different business email addresses.

HTML email signatures include all the basics of email design, e.g. Images, hyperlinks and text styles. A standard design for the entire company is also professional and builds trust with your audience. The benefit of using an HTML email signature rather than a solid image is that you can create one design and keep the text areas editable.

As I don’t use Windows on a daily basis, I only have Outlook 2007 but this should be similar for the latest versions of Outlook too. Microsoft word 2013 free. download full version mac.

1. The HTML

If you’re not sure about how to create a snazzy email signature then hire somebody to create it for you. They will know the limitations for creating a signature that looks great on all platforms. Ask them to provide you with the HTML with opening <body> and closing </body> tags as a .html file (if they provide it as a .txt file, then simply change the .txt to .html).

2. Create a signature in Microsoft Outlook

Outlook and go to Tools > Options > Mail Format > Signatures > Signatures…

Click New to create a new signature file and give it a memorable name. You don’t need to add any content to the Edit signature field as we’ll be overwriting this in the next step.

Click OK > OK and quit Outlook.

3. Open the Signatures folder

In the Search Box in Windows (usually in the bottom left corner, next to the Windows icon) type the following

C:UsersyourusernameAppDataRoamingMicrosoftSignatures (obviously changing “yourusername” with your actual computer username. If you’re unsure what this is, then start typing C:Users and a list of possible users will appear.

4. Paste the HTML Signature

Locate the name of the signature you created in Outlook. You should see 3 files with the same name. You only require the HTM File type one (look in the Type column to get the correct one)

Right-Click on the file name and select Open with > Notepad

Select All and Delete the content that currently exists

Open your new HTML Signature file (that your designer/developer provided) in Notepad and Select All > Copy

Go back to the empty Signature file and Paste your new Signature content. Close the window, ensuring you select Save when asked.

5. Look at your lovely new signature!

Open Outlook and create a new Mail Message. If you can’t see your new signature, ensure you select it from the Signature button in the menu bar.

Creating your own signature is a straightforward task using Outlook or if you want more options use Word. Plus your emails will have a professional smart look.

Using Outlook 365

Mac demarco this old dog download zip. Create a new email and then click on Signature and in the drop down menu click on Signatures.

Clicking on Signatures takes you to the Signatures and Stationery dialogue box shown below. Here you can create a new signature or edit an existing one.

Rather than use the Signatures and Stationery dialogue box to edit your signature Word Office 365 can also be used to add extra formatting such as tables, symbols and images. Try to keep the tables narrow as they probably won’t wrap elegantly when viewed on a mobile phone.

The social icons were created using the desktop version of Font Awesome and can be downloaded from here. Unzipping the file gives you a library of SVG symbols that can be imported into Word.

Click on Insert panel click on Pictures and navigate to the folder where the unzipped SVG symbols reside. Choose the one required. The SVG graphic is imported as shown below.

Here the symbol can be changed to suit your signature. I changed the Graphics Fill to suit the brown colour scheme of my business. The Graphics Effects work for Outlook and Windows 10 Mail but there’s a risk they won’t work on other email clients.

When you have finished your signature masterpiece copy all (Control + A, then Control + C) and paste (Control+V) it into the Edit Signature part of the Signatures and Stationery dialogue box. It should look the same as it did in Word.

To save the signature simple close the dialogue box by clicking OK. Your signature is now ready to use.

Editing an existing signature with Word

Try copying the signature from the dialogue box and pasting it into Word. If this doesn’t work open the signature’s RTF file from: c:UsersusernameAppDataRoamingMicrosoftSignatures and edit the file to suit. When done paste the completed signature as for using Word.
